Supplements

A supplement tracks extra insurance-claim items you are asking the carrier to approve, from the request through the adjuster's decision.

What a supplement is

On an insurance job, a supplement is a request to the carrier to add or increase items beyond what the claim originally approved. It lives on its own tab: open the project and go to the Supplements tab.

Creating a supplement copies the project's insurance and adjuster details (company, policy number, claim number, date of loss, adjuster name, phone, fax, email, whether the claim was met and approved) as they stood at that moment. That information is shown on the supplement but is not edited there; update it on the project's own Insurance tab first if it needs to change.

A supplement always starts in the Created status and ends in Closed. In between, your account can define whatever intermediate statuses it wants (things like Requested, Under Review, Waiting on Response). Until it is closed, the total shown is what you requested; once closed, it switches to what the carrier actually approved.

Working a supplement

  1. Open the project, go to the Supplements tab, and click Create Supplement.
  2. If someone specific is going to handle this request, open the small actions menu on the supplement (or the + Assign link under Supplementer) and choose Assign Supplementer. The person you assign gets an email with a link straight to this supplement.
  3. Add the items you want the carrier to approve, from that same actions menu's Add Items (or Edit Items once some exist). You can pick from the line items already sitting in the worksheet's Insurance Claim section (so you're asking to change the price on something already on the claim), import items already placed in the worksheet's Supplement section, or type a custom item with + Add Item.
  4. Log every contact with the adjuster with Create Notation: date, who you spoke with, notes, an optional attachment, and (if you want) a status to move the supplement to. Setting the status on a notation is how a supplement's status actually changes.
  5. When the carrier responds, use Close Supplement to record what was approved, denied, or removed, item by item, and the date it closed. This option stays disabled until at least one item has been added.
  6. To reverse a supplement you shouldn't have created, use Delete Supplement from the same menu.

Sending and printing a supplement

The Preview button (next to the status badge, enabled once the supplement has items) opens Print / Create PDF, where you choose what to include, pick a page layout, and then Save as PDF (filed under the project's Job Paperwork documents), Email Supplement (attaches the generated PDF and lets you add the claim number to the subject line), or Print Supplement.

Who can do this

Opening the Supplements tab, and reading what is on it, takes View on Supplement. Creating a new supplement takes Create on Supplement. Assigning a supplementer, adding or editing items, adding a notation, closing a supplement, and previewing or emailing it all take Modify on Supplement. Deleting one takes Delete on Supplement.

The list of statuses your notations can move a supplement through (beyond the built-in Created and Closed) is account-specific, managed under Custom Fields in Settings ("Supplement statuses"). Adding, renaming, or removing them is limited to an Account Admin; everyone else with access to supplements can only choose from what's already there.
