Quote templates

A quote template is a reusable set of material and labor line items that becomes a real, editable quote with one click.

What a quote template is

A quote template is a saved, reusable set of material and labor line items, kept under Quote Templates, under Production in the sidebar. It is not a copy of a specific quote: it is a starting point, built once for a job type you sell often (a certain roof system from a certain supplier, say) so that starting a new quote is picking a template rather than adding every line item from scratch each time.

Every template is tied to exactly one supplier's catalog and to one or more of your trades, and it is scoped to the locations (branches) that are allowed to use it. Beyond its line items, a template carries the same pricing fields a quote does: a name and description, a sales type, and starting profit margin, overhead, commission, discount and tax percentages, plus an optional fixed price. It can also be marked a favorite so it sorts to the top of the picker.

Building a template

  1. Open Production, then Quote Templates.
  2. Click New.
  3. Fill in the template's name and description, choose the Supplier whose catalog it draws from, and set which trades and locations it applies to, along with its sales type and starting pricing (margin, overhead, commission, discount, tax, or a fixed price).
  4. Add its line items the same way you would on a quote: use Select Products to browse the supplier's catalog by manufacturer and add materials in bulk, or add material and labor lines by hand.
  5. Save.

Editing an existing template opens the same form, reached from its row on the Quote Templates list; deleting one (including in bulk, with a confirmation prompt) is available from that same list to anyone who can delete templates.

Applying a template to a new quote

  1. On a project, open the Quotes tab.
  2. This opens directly on a template picker: search by name, filter by trade or supplier, or switch to Favorites.
  3. Select a template. There is no separate cart step: this immediately creates a new quote on the project with the template's material and labor lines already filled in, and opens it for editing.
  4. Review the quote before sending it. Material pricing reflects any location-specific pricing your account has in effect right now rather than whatever was true when the template was saved, and the account's current overhead percentage is applied rather than the template's stored one, so it is worth a look before you send it.

If the picker on a project's Quotes tab comes up empty, no templates have been created yet, and that screen says so directly, pointing back to Quote Templates to create one.

What happens after a quote exists (saving it as an order, sending it, tracking its status) is the same regardless of whether it started from a template or from scratch, and is covered in the quotes and orders article rather than repeated here.

Who can do this

By default, Account Admin and Back Office can view, create, edit and delete quote templates. Branch Manager and PM can view, create and edit them, but cannot delete one. Crew Lead and Subcontractor have no access to Quote Templates by default. An account administrator can change any of this from the account's Permissions screen.
