The profile behind a lead source
A lead source has a profile only when its CATEGORY is marked Relationship under Category type in the lead source editor in Settings, which takes Modify on Lead Sources.
That is how an office you work with is told apart from a channel such as Door Knocking or Google Search. The mark sits on the category and the sources under it inherit it, so marking a real estate office once gives every agent under it a profile. Nothing is marked to begin with, so a Channel category behaves exactly as it always has: no profile, no link from a job and no search result. Unmarking a category later hides its notes, email and reminders rather than deleting them, and marking it again brings them back. A parent lead source is usually the office or company that sends work, such as a real estate brokerage or an insurance agency, and the sub lead sources under it are the people there who send it. Every marked office and every agent under one is listed on Relationships in the sidebar, which takes View on Lead Sources and appears only once the account has marked at least one office. New relationship on that screen adds an office, marked as a relationship from the start, or an agent inside an office already there, which takes Create on Lead Sources, and then opens the new profile so its details can be filled in. A profile can also be opened from the lead sources screen under Marketing, from the lead source editor in Settings, from the lead source shown on a job, or by typing its name into the search box at the top of the screen. Opening a profile takes View on Lead Sources.
Each office and each agent can have one Sales rep, the person on the team who owns that relationship, chosen from the active users on the account on the Details tab, which takes Modify on Lead Sources. The Relationships list shows the rep beside every row and can be sorted by rep. Someone with Modify on Lead Sources (every relationship) or Modify on Own Relationships (only those where they are the sales rep) can hover a row to show its checkbox, tick rows (or every row on the page, or every row matching the filters) and then use Reassign rep, Set location or Set area to give them all the same value at once (or remove it), or Hide them so they stop being offered when picking a lead source. Hidden offices and agents keep their jobs and history; tick Hidden under Status in the Filters panel to see them, and Show brings them back. Protected lead sources are never hidden. Its Filters button opens the same side panel as the project list, with Type, Sales rep, Location, Office, Agent and Status sections (each with its own search box) where several values can be ticked at once, so ticking a rep and Offices answers which offices that rep has right now. With offices and agents shown together, each agent is listed indented under its office, as in the lead source editor in Settings. The list also shows the location, area and address of every row; it can be sorted by location or filtered by location in the Filters panel (including rows with no location), and the search box matches name, office, rep, address and area and highlights what it matched. A filtered view is a link that can be bookmarked or sent to someone. The rep is not inherited, so an agent can sit with a different rep than their office, and a rep who leaves keeps their relationships on the list until someone reassigns them.
The Comms tab is the same inbox the job screen uses: the conversations on the left, the messages beside them, the details on the right. All lists notes, email and text messages together, so a rep can see what was said and sent without switching views. Notes is the running note history: who wrote each note, when, the note itself, and optional photos or PDFs. An office also shows the notes written on its own agents, labelled with the agent, so a visit logged against one agent is visible to anyone who opens the office. Writing a note takes Create on Lead Source Notes. The author can correct their own note for 24 hours, after which it is fixed, and only an account admin can remove one. A note can carry a follow-up date, which is set on the Calendar tab rather than while writing the note, and it then shows on the lead sources screen and on the calendar so a relationship does not quietly go cold. A note never creates a job, so job reporting is unaffected. Notes and email can both carry PDFs and photos through the same paperclip the job screens use, and whatever is attached to an email is sent with it.
The Email view inside Comms lists messages already sent on the jobs that source produced, where the lead source was on the message, alongside mail sent from the profile itself, and it can send: composing there takes Create on Lead Source Notes, and a reply from the partner threads back onto the profile. Text Messages appears only when the account has texting connected, and it sends one text at a time to the phone number on the Details tab, which takes Create on SMS. A reply from that number comes back onto the profile: the CRM looks for a job first, then for a referral partner by phone number, and anything it cannot place with confidence stays in the unassigned messages list rather than being guessed at. If the partner replies STOP, further texts are refused, and their own messages are still recorded. Text messages carry no photos or files in this release. The Performance tab reports on the same records the reports use: jobs created in the last twelve months, won jobs, won revenue and close rate, the latest jobs, and for an office the same figures for each agent under it. The Calendar tab shows the follow-ups due on this profile on a month grid, and for an office those set on its agents as well. A reminder can be added there, which writes a note carrying it, so there is always a note behind a reminder; rescheduling or clearing one stays on that note. Reminders also appear on the main calendar, and anyone added as attending receives it on their own connected calendar when they have linked Google, Outlook or Apple; Trussi itself still sends no reminder notification. Phone, email, address, Location and Area live on the Details tab, which is where the profile opens, and changing them takes Modify on Lead Sources, or Modify on Own Relationships on a relationship where you are the sales rep. Someone who can only edit their own may still hand one to another rep, after which it is no longer theirs to edit. New relationship also has an optional Sales rep field, filled in with you when you can only edit your own. The phone takes a 10-digit number, with an optional extension of up to 6 digits beside it, shown as x123 after the number. Location is picked from the locations on the account, the same list a lead is filed under, and like the rep it is set per office or agent rather than inherited. Area is free text for the part of town the office or agent covers, and when a job is created or edited the lead source picker shows the area beside a relationship and its address under it, so two agents with similar names can be told apart. The address searches Google as it is typed, and picking a suggestion draws a map of that place; typing an address by hand still saves and simply shows no map.
Who can do this
Access in Trussi is a capability granted to a role. If one of these is missing from your role, an account admin can grant it; see roles, permissions and why something is hidden.
