E-signature and sending documents for signature

DocuSign is what lets Trussi send a project document or quote out for a customer's electronic signature.

What the DocuSign integration is for

Trussi doesn't handle electronic signatures itself; sending something out for a legally binding e-signature and tracking who has signed it is done through DocuSign. Connecting the integration is what turns on sending for signature at all: without it, both the general document flow and the quote-signature flow refuse to send and tell you to connect DocuSign first.

Connecting DocuSign

  1. Open the add-ons catalog under Settings and choose DocuSign.
  2. Click Connect DocuSign and sign in with a DocuSign account. If you don't already have one, the same screen links to a free DocuSign trial signup.
  3. Once connected, the page shows the DocuSign account name, the user you connected as, and when it was connected.

Reconnect from the same page at any time, and disconnect there too; disconnecting stops new documents from being sent for signature, though anything already sent keeps running its course to completion.

Sending a document for signature

  1. From the project's Documents tab, open a file in the document editor and place the signature, initials and date fields the recipient needs to fill in. Adding a countersign field routes the document to a second signer, by default the project's assigned Sales Rep or Project Manager, once the first signer completes it.
  2. Click Send Document, choose who it goes to (Customer, Adjuster, Sales Rep / Project Manager, or a custom name and email), add a message, and send.
  3. If the document needs a countersignature, choose who countersigns before sending, either the assigned user or a custom name and email.

A quote is sent for signature a different way: turn on Customer Signature in the quote preview's controls, click Share, and choose to send it via DocuSign instead of by email. A quote always goes to the project's customer; there's no recipient picker there the way there is for a general document.

Tracking signature status

Every send appears in the Sent Documents list on the project's Documents tab, and moves through Sent, Viewed and Signed (or Voided) as DocuSign reports back; status updates on its own, with nothing to check in DocuSign directly or refresh by hand. A send routed to more than one signer shows each signer's own progress rather than one shared status. If DocuSign can't deliver the signing email at all, the send is flagged as a delivery failure so you know to check the address and resend rather than wait on a signature that's never coming.

Once every signer has signed, Trussi downloads the completed PDF automatically and attaches it to the project. For a signed quote, that also creates the project's worksheet and shares the signed copy to the customer's portal, so nothing further needs to be done by hand.

Without DocuSign connected

Nothing can be sent out for signature, either a general project document or a quote; the send actions are blocked outright rather than falling back to some other method.

Who can do this

Connecting and disconnecting DocuSign takes Modify on Account, which only the Account Admin role has by default. Sending a general project document for signature only takes View on Projects, so anyone who can open the project can send from it, while sending a quote for signature takes the narrower Create on With Customer Inperson, which by default only Account Admin, Back Office, Branch Manager and PM hold.
