Custom reports

Build your own report on projects or customers, choosing the columns, filters, grouping and chart, and save it as private or shared.

Whether you can build one

Yes. Beyond the two built-in reports, Dead Leads and Lead Source, an account can build and save its own reports on Projects/Jobs or on Customers. Opening the Reports screen at all takes the Reports permission's View column; the New Report button on that screen only shows up for someone who also has the Reports permission's Create column. Someone who can view but not create still sees every report shared with them.

Starting a new report

From Reports in the sidebar, New Report opens a four-step wizard: Basics, Columns, Filters, Display.

  1. Basics: name the report and choose what it's built on, either Project / Job or Customer (there's no separate Invoice or Calendar option yet). You also pick a Category label (Sales, Production, Finance, Team or Custom) that organizes the report in the list, a starting date range (Today, This Week, This Month, This Year, Last 90 Days, Last Year, All Time or a custom range), which date field that range applies to (for example the created date, or the date a job entered a particular pipeline stage), and whether the report is Private or Shared.
  2. Columns: pick which fields to display. For a Project/Job report they're grouped into Job Information, Lead Information, Dates (including one column per pipeline stage's date), Scheduling, Financial Details, Expense Breakdown, Age & Duration and Insurance. For a Customer report they're grouped into Core, Contact, Address, Dates and Financial.
  3. Filters: add one or more conditions on almost any of those same fields, using operators like equals, contains, is empty, greater than and between.
  4. Display: choose how rows are grouped, or leave grouping on its default (Pipeline Stage for Project/Job reports, City for Customer reports), and pick a chart type of Horizontal Bar or Pie/Doughnut.

Creating the report saves it and opens its own report page.

Some columns need extra permission

A handful of financial and aging columns are gated separately from the report builder itself. Approved Job Value, Sales Goal, % of Goal, gross and net profit, and the expense breakdown columns need the Columns - Sales permission. Collected, Balance Due and Payment Methods need Columns - Payments Received. Days Outstanding and Duration need Columns - Job Age. If a report uses one of these columns and is shared with someone who lacks the matching permission, that column (and any sort or grouping based on it) is left out of what they see rather than shown blank.

Working with a saved report

A report's page shows a chart next to a Total, Top Item and Top 5 summary, with a grouped table of records below. Click into a group to page through the underlying records. From this same page you can keep adjusting the report without going back through the wizard: change the filters or columns, switch the chart between Bar and Pie and its metric between Revenue and Count, change the date range, narrow to one location or leave it on All Locations, and change the grouping.

  • Save writes your changes back to the report. Only the report's owner or an account admin can do this, even if you hold the Reports permission's Modify column generally.
  • Save As creates a new private copy under a different name. Anyone with the Reports permission's Create column can do this, regardless of who owns the original.
  • The star icon toggles whether the report is one of your favorites.
  • Export downloads the full result set, not just what's on screen, as Comma Separated, Excel Spreadsheet or PDF Document. Exporting more than 7,500 records asks you to confirm first.
  • Delete Report is available to the owner, or an admin with the Reports permission's Delete column. The built-in Dead Leads and Lead Source reports can't be deleted.

Private and shared reports

Every saved report is either Private or Shared. A private report is visible only to whoever created it; a shared report is visible to everyone in the account who can open the Reports screen. Changing a report from Private to Shared (or back) takes the Reports Visibility permission, and only the report's owner or an admin can flip it even with that permission granted.

Where a saved report appears

Saved reports appear on the same Reports screen as Dead Leads and Lead Source, in one list you can filter to All, Favorites or My Reports, and sort by Title, Entity, Owner, Category, Created or Edited date. Category is a sortable column in that list, not a separate tab. What you can see there is limited to reports that are Shared, the reports built into the product, and any private reports you created yourself; another person's private report never shows up in your list.

One thing to know about scope

Unlike most lists in Trussi, a custom report is not automatically limited to the locations you're assigned to. It reports on the whole account unless you narrow it yourself with the Location control on the report page. That means a shared report shows every viewer the same numbers, regardless of which locations each of them is attached to.
