Commissions

The Commissions tab calculates what a sales rep is owed on a project and walks that amount through request, approval, and payment.

What Commissions is

A project's Commissions tab computes what your sales rep (and, if your account pays them, additional or management roles too) is owed on that job, and moves the amount through a request-approve-pay workflow rather than leaving it as a number someone has to remember. Open the project and go to the Commissions tab.

A project can carry two kinds of commission:

  • A Pre-Commission: an advance paid to the salesperson early, for example once a down payment comes in. It's computed as a fixed dollar amount, a percentage of the contract amount, or a percentage of the down payment, whichever your account has configured.
  • The Commission itself: the full calculation, normally done once the job is essentially finished. It draws on the project's worksheets, payments received and paid, and additional expenses to work out gross profit, then splits a commission off that according to your account's rate settings.

Neither card appears unless your account has commission settings configured for the project's location; if none exist, the tab says so instead of showing anything to fill in.

From request to paid

  1. Request. Whoever can request commissions clicks Request. For the standard Commission (not the Pre-Commission), the project has to have reached the pipeline stage your account requires before a request is allowed (Invoiced, by default) and, unless your account has turned this off, must show a $0 balance due; otherwise the request is refused and told why.
  2. Create Commission. A request on its own doesn't produce numbers yet. Only an Account Admin can turn a Requested commission into a working draft, by clicking Create Commission, which pulls the project's worksheets, payments and expenses into the commission form. (A Pre-Commission skips this step: its amount comes straight from your account's pre-commission settings.)
  3. Work the draft. While a commission is a Draft, whoever can edit commissions can adjust the form, add rows, override splits, and click Save.
  4. Approve. Once the numbers are right, whoever can approve commissions clicks Approve. An approved commission can be sent back to Draft with the Edit button by whoever can edit commissions.
  5. Mark as Paid. Once Approved, whoever can pay commissions clicks Mark as Paid, fills in the check details (pay to, check number, memo, date, amount), and confirms with Save & Mark as Paid.
  6. Reject. At Requested, Draft, or Approved, whoever can reject commissions can reject one with a required reason. A rejected commission can be requested again from scratch.

A commission can also be deleted, but only while it's Requested, Draft, or Approved (not once it's Paid or Rejected), by whoever can delete commissions. Each card's small actions menu also has Log (a full history of who requested, approved, paid, or rejected it, and when) and Print.

Account-level settings

Commission rules live in Settings, under Commissions, as one or more configurations, each assigned to one or more locations. A configuration with no locations assigned is the default for any location that doesn't have its own. Each configuration sets:

  • Commission Basis: Gross Profit or Total Sale Amount.
  • Commission Rate Format: Project Profit (a rate that varies by gross-profit threshold) or Salesperson (a flat percentage of gross profit paid to the rep).
  • Pre-Commissions: whether your account pays them, how (fixed amount, percentage of contract, or percentage of down payment), and who's allowed to request one.
  • When is a Commission Ready to Request: the minimum pipeline stage, and whether the project needs a $0 balance due, before a standard commission can be requested.
  • Company Minimum Profit, Additional Commissions, and Management Commissions: optional rules layered on top of the base calculation.
  • Commission Visibility: which roles can see commissions calculated on Net Profit, and which can see how much is payable on a project at all.

Only someone with Modify on Account can open or change this page.

Who can do this

Requesting a commission (either kind) takes Create on Commission. Approving takes Modify on Approve Commission, marking one paid takes Modify on Pay Commission, and rejecting takes Modify on Reject Commission. Editing a draft's numbers, or reopening an approved commission back to draft, takes Modify on Commission. Deleting one takes Delete on Commission. Just viewing the Commissions tab takes View on Commission. Turning a request into a working draft with the Create Commission button is limited to the Admin and Account Admin roles directly, not to a separate grantable permission.
